Compliance
Records compliance for Australian councils
Support for AS ISO 15489, state recordkeeping laws and retention and disposal schedules, inside Microsoft 365.
Monarch EDRMS supports council recordkeeping under AS ISO 15489 and the recordkeeping laws of Western Australia, New South Wales, Victoria and Queensland, including retention and disposal schedules. It runs in SharePoint Online inside your Microsoft 365, so records are captured and managed where your people already work.
Supporting compliance is not the same as guaranteeing it. How a council configures and runs its records system, and what its state records authority requires, decide the outcome. Check current requirements with your authority, and ask us to show how Monarch EDRMS fits them.
Standards and legislation Monarch EDRMS supports
| Standard or state | Legislation or standard | Where to read the requirements |
|---|---|---|
| Australia | AS ISO 15489 (records management) | Standards Australia |
| Western Australia | State Records Act 2000 (WA) | State Records Office of WA |
| New South Wales | State Records Act 1998 (NSW) | NSW Government recordkeeping |
| Victoria | Public Records Act 1973 (Vic) | Public Record Office Victoria |
| Queensland | Public Records Act 2023 (Qld) | Queensland recordkeeping and information management |

Retention and disposal schedules
Monarch EDRMS supports retention and disposal schedules, so records can be kept and disposed of according to the schedule your council works to. Ask for a demo with your own authority's schedule to see how it is applied to your records.
How records are captured and kept
- Structured libraries. Documents, emails and records are captured with drag and drop into libraries that use an industry-aligned taxonomy, so they are filed consistently.
- Permission-aware search. The Search Center filters records in SharePoint and only shows people what they are allowed to access.
- Version history and locking. Files keep a comprehensive version history, and locked files cannot be edited, shared or downloaded without approval.
- Audit trail for sharing. Secure file sharing records who opened, downloaded or shared each file.
