What is Monarch EDRMS?

Monarch EDRMS is an electronic document and records management system built on SharePoint Online and Microsoft 365. It captures documents, emails and records in structured libraries with an industry-aligned taxonomy, and makes them easy to find with permission-aware search.

What does EDRMS stand for?

EDRMS stands for electronic document and records management system: software that manages the lifecycle of documents and records, including creation, storage, retention and disposal.

Does Monarch EDRMS work with SharePoint and Microsoft 365?

Yes. Monarch EDRMS is built on SharePoint Online and Microsoft 365, so records stay where your people already work.

Who is Monarch EDRMS for?

It is purpose-built for public sector teams, including local government, schools, water utilities and ports.

Does Monarch EDRMS replace SharePoint?

No. It is built on SharePoint Online and adds records management on top of it, with actions built using the SharePoint Framework (SPFx). Your people keep working in Microsoft 365.

Where are our documents and records stored?

Monarch EDRMS runs in SharePoint Online, inside your organisation's Microsoft 365, so documents, emails and records stay where your people already work.

Can Monarch EDRMS capture emails as records?

Yes. Documents, emails and records are captured with drag and drop into structured libraries that use an industry-aligned taxonomy.

Features

Which features are included, and which are add-ons?

The Search Center, Convert to PDF, secure and lock, and QR codes are core. Approvals, Digitisation and OCR, Secure file sharing, Monarch eSignature and Policy Publish are add-ons. See every feature.

How does search work?

The Search Center searches and filters documents and records in SharePoint. Results are permission-aware, so each person only sees what they can access, and teams can save and share reusable filters.

Can Monarch EDRMS digitise paper records?

Yes, with the Digitisation and OCR add-on. It converts paper files into searchable digital records, detects text and codes, and suggests metadata and storage locations.

Can we share files securely outside the organisation?

Yes, with the Secure file sharing add-on: cover sheets, expiry dates, watermarks and an audit trail of every access and download.

Does Monarch EDRMS support electronic signatures?

Yes, with the Monarch eSignature add-on. Officials sign from any device, with sequential or parallel signers, and the signed PDF and audit certificate are filed back automatically.

How do approvals work?

With the Approvals add-on, documents go through single or multi-step approvals with reminders and escalations. Decisions are captured with comments, and the approved version is locked and stored automatically.
